Start with the operating need
Equipment selection should begin with what the business needs the system to do. Count users and devices, identify critical applications, confirm circuit speeds, and document the environment. An office, warehouse, retail site, and multi-location deployment can place very different demands on the same equipment category.
A switch with enough physical ports may still lack the necessary PoE budget. A firewall that fits today's circuit may not have enough inspection capacity for planned applications. A capable access point can still perform poorly when switching, cabling, mounting, device density, or roaming requirements are incomplete.

Compatibility reaches beyond the main product. Optics, transceivers, stacking cables, antennas, power supplies, rack depth, mounting brackets, patching, software versions, and management platforms can determine whether the equipment installs on schedule. Small omitted accessories can create large delays during a fixed deployment window.

Confirm rack space, outlets, redundant power, UPS capacity, cooling, grounding, and cable pathways.

Confirm availability, lead time, shipping, substitutions, returns, staging, installation, and handoff.
Deployment package
Quote the whole working system
A complete requirement identifies hardware, quantities, licenses, accessories, power components, mounts, cabling assumptions, configuration work, delivery sequence, installation ownership, and acceptance criteria. It should also define what is excluded or still awaiting confirmation.
This creates a deployment package instead of a box list. The box list describes what was ordered. The deployment package connects those items to the environment, the people responsible for each step, and the tests that show the system is ready for use.
